Team Members & Access Levels
Let the right people see the numbers, without handing out your password.
Available on Every paid plan — and in every 30-day free trial
Sooner or later somebody else needs to see your website numbers. Your marketing agency wants to check whether the campaign worked. A business partner wants the monthly figures. A member of staff runs the newsletter and would like to know if anyone clicked. The usual answer — sharing your login — is a bad one: they can change your billing, delete a site, and you have no way to take access back except changing the password and telling everyone the new one.
Team members solve that properly. You invite someone by email, choose what they are allowed to do, and they get their own login. They see your websites alongside their own account, you can change their level or remove them at any moment, and your password stays yours.
There are three levels, and they mean what they sound like. An **admin** can do everything you can except delete the account, including inviting other people. A **member** can change site settings and run reports, but cannot manage people or touch billing. A **viewer** can look at everything and print reports, and change nothing at all.
How it works
An invitation is sent to an email address, not to an account, so it works whether or not the person has used Crafty Meerkat before. They click the link, sign in or create a free account, and accept. Only the address the invitation was sent to can accept it — forwarding the email to somebody else does not hand over access.
Once accepted, they keep their own separate account. A switcher appears at the top of the dashboard listing every account they can act inside, and a coloured bar makes it obvious when they are looking at somebody else’s data rather than their own. Nothing is merged and nothing is shared beyond the account you invited them to.
Access is checked on every single request against what is stored in our database, not against anything held in the browser. Removing somebody takes effect immediately, on their next click — there is no session to wait out.
Step by step
- 1
Open Team from your account menu
Click your name at the bottom of the sidebar, then Team. You will see everyone who currently has access, including yourself as the owner.
- 2
Send the invitation
Type their email address, pick what they should be allowed to do, and send. They get an email explaining who invited them and what they will be able to see. Nothing changes on your account until they accept.
- 3
Choose the level honestly
Viewer is the right default for most people. An agency that manages your campaigns usually needs Member so it can set up goals and campaign links. Reserve Admin for someone you would trust to invite other people on your behalf.
- 4
Review it occasionally
People leave, agencies get replaced, and access outlives the reason it was granted. The Team page lists everyone in one place — removing someone takes one click and applies immediately.
Tips from the den
- ◆Invitations expire after 14 days. If somebody misses one, send it again — re-inviting refreshes the link rather than creating a duplicate.
- ◆Only the account owner can change the plan or payment details, whatever level you give someone. That is deliberate: nobody should be able to upgrade your subscription for you.
- ◆Anyone can remove themselves from an account they were invited to, without asking you. If an agency engagement ends, they can show themselves out.
Common questions
Does each team member need to pay?
No. Team members are included in your plan — Starter includes 3, Growth 10, Business 25. They do not need their own subscription, and if they already have their own Crafty Meerkat account it stays completely separate from yours.
Can a viewer accidentally change something?
No. Viewer access is enforced on the server, not just hidden in the interface. Every request that would change something is refused for a viewer, so there is nothing they can click, paste or bookmark that would alter your account.
What does a team member see about my other sites?
Everything in the account you invited them to, because that is what the account is. Access is per account rather than per site — if you need somebody to see only one website, the cleanest approach today is a public share link for that site instead.
What happens if I remove someone?
They lose access immediately, on their very next request. Anything they created — goals, notes, campaign links — stays with your account, because it belongs to the account rather than the person.
